Financial System

CMS's Financial System was developed specifically to interface with CMS's operations applications - Export Cargo Manager, Ocean/Air Forwarder, Import Cargo Manager, etc. Not just another accounting package, CMS's Financial System - Accounts Receivable, Accounts Payable, and General Ledger - was designed with the activities of the NVOCC and Freight Forwarders in mind.


Accounts Receivable

Divisional Accounting
Receivables for each division can be assigned a separate Accounts Receivable, General Ledger account. All reports can provide divisional subtotals.
Multiple Bank Accounts
Deposits can be processed for multiple bank accounts per company. Cash transactions can be automatically posted to the Bank Reconciliation module.
Open-Item Customers
All Accounts Receivable can process on a open-item basis.
Invoice Entry
Invoices can be entered for customers. Sales codes can be used to obtain price and cost of goods sold information. Any number of sales codes can be entered for each device.
Invoice History Printing
This program used to print History Invoices for range of Customers. Invoice Numbers and Invoice Dates.
Cash Receipts Processing
Cash receipts can be applied against the oldest invoices or against specific invoices. Miscellaneous cash receipts can be posted directly against General Ledger accounts, and any prepayments against invoices not yet recorded can also be processed.
Statement Printing
Statements for a billing cycle (e.g., monthly or quarterly) can be printed on standard or custom forms for all customers or for a specific group of customers.

Accounts Payable

Divisional Accounting
Payables for each division or department can be assigned a separate Accounts Payable General Ledger account. All reports can provide divisional totals.
Multiple Bank Accounts
Checks can be processed for multiple bank accounts for each company.
Vendor information such as address, terms and purchase history can be quickly reviewed for inquiry purposes only. A search feature locates the vendor by name, sort field or zip code.
Invoice Entry
Invoices can be expensed to any number of accounts. Invoices for "one-time-only" vendors can be entered and new vendors can be added directly while entering invoices.
Automatic Payment Selection
Invoices can be selected for automatic payment based upon the due date or vendor. Individual invoices can be selected for full or partial payment. Vendors can be placed "on hold" to prevent automatic payment.
Accounts Payable checks can be printed on standard check stock. Accounts Payable forms such as checks, 1099 forms and mailing labels can be customized to meet your individual needs.
Manual Checks
Handwritten checks, reversals and voided checks can be recorded. Checks can be recorded for "one-time-only" vendors, and partial payments can be specified on any invoice. Individual checks can be printed directly from the Manual Check Entry program.
Accounts Payable and Accounts Receivable Clearing
For Accounts Receivable Customers who are also Accounts Payable Vendors, Accounts Receivable invoices can be selectively applied to the Vendor’s balance, eliminating the manual matching process of issuing checks and posting payments.
Custom Form Capability
Accounts Payable forms such as checks, 1099 forms and mailing labels can be customized to meet your individual needs.

General Ledger

Complete Audit Trail
A complete audit trail of detail activity is provided by printing reports and registers before posting of the permanent files. A unique batch number is assigned to each register, and this batch is posted to the General Ledger, leaving a detailed audit trail.
Flexible Accounting Periods
The number of accounting periods (up to 13) in a fiscal year is user-defined. Ending dates for each period can be specified.
Flexible Account Numbers
Account numbers can use up to 16 alphanumeric characters and can be divided into as many as 4 segments for identifying sub-accounts, departments, divisions or locations. General Ledger accounts can be categorized into any number of similar account groups (e.g., assets, liabilities, equity, revenue, expenses, etc.).
Multi-Company Consolidation
Data can be processed for any number of companies. Data from separate companies with identical or different Chart of Accounts can be consolidated into a single report.
Transaction Detail Inquiry/Drill Down
Detailed transactions for an account can be displayed at any time. A transaction search can be performed by period, source journal or comment. You can drill down at any transaction and see the entire original entry.
Account Masterfile Audit
An audit trail of any changes made to the General Ledger Account Masterfile is provided. The Account Masterfile Audit Report is used to audit any changes, deletions or additions to the Account Masterfile. This report prints changes made to data fields, changes made "on-the-fly" and notes the date and User Code or terminal ID. The Audit Report can be printed for a specific range of User Codes/Terminal IDs and transaction dates.
Standard Financial Statements
A standard income statement and balance sheet can be produced automatically in departmental or consolidated form. You may include various combinations of actual, budget, budget variance and prior-year information on the standard income statements for the period-to-date and year-to-date.
